Reporting to the Vice President of National Affairs, the National Affairs Administrator

supports the VPNA portfolio, specifically the RAIC’s chapters and networks, committees, Festival, Conference and Congress. The National Affairs Administrator assists the VPNA to ensure that RAIC achieves its strategic objectives related to the above-named areas.

Major Responsibilities

Operational Support

RAIC Chapters, Networks, Committees and Task Forces

  • Support and management of the chapters, networks, committees and task forces;
  • Collaborates on activities to support membership growth, advocacy initiatives, continuing education and engagement;
  • Assists in the organization of meetings including, but not limited to, set up of registration, archiving meeting materials (agendas, minutes, other documents), set up video/teleconferencing etc.;
  • Provides support to volunteers for local events, meetings and planned activities;
  • Coordinates communication including updates for RAIC bulletins, chapter website pages, emails and social platforms;
  • Coordinates incoming and outgoing correspondence, including proofreading, editing, drafting, formatting, distributing and archiving;
  • Coordinates shared drive resources for chapters, networks, committees and task forces;
  • Develops and maintains Reference Manuals as required;
  • Supports VPNA to set annual workplans and budgets;
  • Monitors workplans and budgets and prepares quarterly reports for VPNA;
  • Attendance at other meetings as assigned/requested by VPNA;
  • Contributes to RAIC publications (bulletin, website, Twitter), in collaboration with Communications team;
  • When applicable, prepares summaries/meeting notes, and action items for VPNA;
  • Participates in regular staff meetings;
  • Represents RAIC as delegated by the VPNA;
  • Performs other duties as required.

Operational Support

RAIC Events

  • Support VPNA in coordination, organization and delivery of Festival, Conference, Congress and other events;
  • Organize Conference and Events Team meetings, take minutes and archive as required;
  • Ensure effective coordination among staff who support the events;

Position Qualifications

  • a university degree or diploma in event management, communications, marketing or a related field;
  • strong communication skills, both oral and written;
  • strong interpersonal skills;
  • the ability to develop and maintain strong relationships across a variety of internal and external stakeholders;
  • experience with a non-profit or volunteer-intensive organization is an asset;
  • an excellent personal work ethic;
  • proven organizational skills in a multi-task environment with the ability to work under pressure and complete projects in a timely and proactive manner;
  • can manage flexible working hours and responsibilities;
  • demonstrated initiative and creativity;
  • maintains VPNA confidentiality;
  • ability to work in a team-oriented setting;
  • basic computer skills a necessity (word processing, desk-top layout, financial spreadsheets, database programs, e-mail, internet).
